Pet Identity UK Limited is a company registered in England and Wales (Company No: 08412086; VAT No: 175484673). We are registered with the Information Commissioner's Office (ICO) and are committed to processing data in accordance with the Data Protection Act 2018.

MANDATORY FEES AND SERVICE TERMS

Annual Database Fee: To maintain an active status on the national database for legal traceability, all registrations are subject to a mandatory £20 annual maintenance fee.

Immediate Payment: Registration is not complete, and the pet is not legally protected, until the activation fee has been paid in full. Payment is due immediately upon the record being entered into the system.

Non-Payment & Deactivation: Failure to maintain the annual renewal results in the record being flagged as 'Inactive'. Inactive records lose all recovery support and are subject to immediate removal from the live database.

Portal Access: Online portal login and self-service management are strictly reserved for accounts with a current, paid-in-full annual subscription.

DATA TRANSFER AND REMOVAL

Exit and Transfer Fees: Should a registered owner wish to remove their data from Pet Identity UK Limited or transfer a pet record to an alternative database provider, a mandatory £20 data removal and archiving fee is payable in full before the record is released, transferred, or closed.

Traceability Obligations: In accordance with DEFRA regulations, records will be moved to a secure archive upon payment of the exit fee to ensure long-term animal traceability.

THE TYPES OF DATA WE HOLD

In this privacy policy, we distinguish between three types of customer data:

Customer Data: Data relating to companies and other businesses who are our customers but which is not personal data under the Data Protection Act.

Personal Data: This is personal data as defined in the Data Protection Act 2018.

Registration Data: Telephone and e-mail addresses of individual or business subscribers for the purposes of the Privacy and Electronic Communications (EC Directive) Regulations 2003.

Postal/Invoicing Information: Postal addresses, invoicing details, and contact addresses.

Digital Contact: Telephone, mobile numbers, and e-mail addresses.

Payment Information: Credit or debit card information and payment history. We only retain card information for the period required to process the specific order.

Purchase Information: Records of orders, payments made, order tracking, and fulfilment of services.

Website Usage: Statistical data about how people browse our site, including IP addresses, operating systems, and browser types.

WHAT DO WE USE YOUR DATA FOR?

We use your data to:

Security & Training: We monitor all telephone calls for the purpose of security, training, and verification of service and fee agreements.

Stop Marketing: The right to ask us to stop sending marketing messages.

Retention: Due to legal requirements for animal traceability, data cannot be erased upon request where a legal obligation to maintain the record exists. Archived records are held to ensure long-term traceability even after an account has been deactivated for non-payment.
